Administrative Assistant

JOB DESCRIPTION

 

 

 

 

Summary:  To provide administrative support to the Department Manager

 

 

Essential Duties and Responsibilities:

  • Open all work orders, review for accuracy and close upon job completion by mechanics.
  • Review and process all purchase orders for the service department.
  • Administer all MSDS materials
  • Prepare expense reports for the department manager and others as requested.
  • Receive customer calls and deal with complaints to resolve in a manner satisfactory to customer and Deep South Equipment Company.
  • Respond to technician’s and customer’s questions and help in resolving concerns and/or problems.
  • Assist department manager in day-to-day activities of the Service Department and make necessary decisions in his/ her absence.
  • May be required to type quotes, correspondence, reports and communication for the Department.
  • Monitor and maintain necessary forms for department, supervisors, and managers.
  • Overtime work may be required for this position.

Education and/or Experience:

  • Associate degree or equivalent from two-year College or Technical School or two to three years related experience and/or training or equivalent combination of education and experience.

Language Skills:

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.

 

 

Mathematical Skills:

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

 

 

Reasoning Ability:

  • Ability to apply commonsense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

 

Other Skills and Abilities:

  • Basic computer skills including word processing, graphs and tables.
  • 10-key adding machine
  • Type 50 WPM accuracy
  • Good communication skills, both oral and written.
