HVAC Service Dispatcher Job Summary:

The HVAC Service Dispatcher coordinates field activities for technicians, ensuring seamless communication with clients, vendors, and suppliers. Responsibilities include scheduling preventive maintenance, managing service repairs, and overseeing equipment startups. As a liaison between the office and field technicians, this role is pivotal in maintaining customer satisfaction.

 

Key Responsibilities:

  • Address client inquiries and complaints promptly.
  • Report and address conditions affecting customer satisfaction.
  • Prioritize and assign service requests, managing field technicians’ workload.
  • Order materials for jobs and oversee weekly time reports and expenses.
  • Monitor and resolve customer complaints in a timely manner.
  • Manage monthly maintenance workload, scheduling client visits.
  • Ensure optimal execution of approved repair work.
  • Invoice completed calls and provided weekly status reports for open calls.
  • Keep work notes and dispatch board up to date, cover absent technicians.

Position Requirements:

  • Preferably experienced in HVAC service dispatching; open to candidates with 5 years of office experience.
  • Proven written and verbal communication skills.
  • Demonstrated tact and human relations skills.
  • Strong organizational, time management, and problem-solving abilities.
  • Emphasis on accuracy, attention to detail, and customer service orientation.
